1. Information we collect

Depending on how you interact with us, we may collect:

Identity and contact information, including your name, email address, telephone number and age.

Enquiry and communication information, including messages you send through our website contact form, by email, through LinkedIn or Instagram, or through other communications with us.

Programme information, including information you provide when discussing participation in a What’s Next programme, such as what you are looking for from the programme and information relevant to your participation.

Business and speaking-enquiry information, such as your organisation, venue, proposed topic, pricing discussions and other details relating to a potential engagement.

Transaction and payment information, if you purchase services from us. Payments may be processed through third-party payment providers. We do not receive or store your full payment-card details.

Website and technical information, which may include IP address, browser and device information, referral information, and information about how you use our website. We use Squarespace Analytics and Squarespace’s Activity Log for this purpose. Our Cookie Notice explains this in more detail.

We do not intentionally ask you to provide special-category personal data, such as information about your health, ethnicity, religion, political beliefs or sexual orientation. Please avoid providing sensitive personal information unless it is genuinely necessary.

2. How we collect your information

We may collect information:

  • directly from you when you contact us through the website, email, LinkedIn or Instagram;

  • during conversations about participation in our programmes;

  • when you participate in a programme;

  • when you enquire about a speaking engagement or other collaboration;

  • when you make a payment;

  • automatically when you use our website; and

  • from an organisation or individual that refers you to us.

Where we receive your information from another person or organisation, we will use it only where we have a lawful basis to do so and will provide you with appropriate privacy information where required.

3. How and why we use your information

To respond to enquiries and communicate with you. We generally rely on our legitimate interests in responding to people who contact us or, where your enquiry relates to potentially entering into a contract with us, taking steps at your request before entering into that contract.

To discuss and assess participation in our programmes. We use information you provide during introductory or discovery conversations to understand what you are looking for and whether the programme is appropriate for you. We rely on steps taken at your request before entering into a contract and, where appropriate, our legitimate interests in operating our programmes effectively.

To administer and deliver our programmes. Where you join a programme, we use your contact information to organise sessions, communicate with you and administer your participation. This processing is generally necessary to perform our contract with you.

To create cohort communications. We may create cohort email communications and WhatsApp groups to enable programme participants to communicate with one another. Email addresses are not ordinarily disclosed to other participants. If you join a WhatsApp group, your telephone number will be visible to other members of that group.

To manage speaking engagements, partnerships and business relationships. We use information relating to organisations, venues, potential engagements and commercial discussions where necessary to take steps towards a contract or in our legitimate interests in managing our business relationships.

To process payments and maintain financial records. We use transaction information where necessary to perform our contract with you and to comply with our legal and accounting obligations.

To operate, secure and improve our website. We use website and technical information to understand how the website is used, maintain security and improve the site. Depending on the technology involved, we rely on our legitimate interests and, for non-essential cookies or similar technologies, your consent where required. To establish, exercise or defend legal rights and protect our business. We may retain or use relevant information where necessary for legal, regulatory, fraud-prevention or dispute-resolution purposes.

We do not currently operate an email marketing mailing list through our website and we do not add website visitors or programme participants to marketing lists automatically.

4. Special-category personal information

We do not intentionally collect special-category personal information as part of our normal website or programme administration.

Because our programmes involve discussion and reflection, you may choose to mention personal circumstances during conversations or sessions. We ask participants not to provide sensitive personal information unless it is relevant and necessary.

Where we do process special-category personal information that you have voluntarily disclosed, we will do so only where permitted by applicable data-protection law.

5. Who we share information with

We do not sell your personal information.

We may share personal information with service providers that help us operate our business, including:

  • Squarespace, which hosts and supports our website;

  • Google Workspace and Google Drive;

  • Dropbox;

  • Microsoft;

  • Zoom;

  • WhatsApp/Meta where used for programme communications;

  • payment processors where used to process payments;

  • our accountant and professional advisers;

  • service providers supporting surveys or programme administration where applicable; and

  • social-media providers such as LinkedIn and Instagram where you interact with us through those services.

These providers may act as processors on our behalf or, in some circumstances, as independent controllers of the information they receive.

We may also disclose information where required by law, regulation, court order or a competent authority, or where reasonably necessary to protect our rights or those of others.

6. International transfers

Some of our service providers operate internationally, and personal information may therefore be processed outside the United Kingdom.

Where UK data-protection law requires safeguards for an international transfer, we seek to use appropriate mechanisms, such as adequacy regulations, approved contractual safeguards or other lawful transfer mechanisms.

Our programmes may also include participants located outside the UK. Where you voluntarily participate in a cohort WhatsApp group or other group communication, information you share may be visible to participants in other countries.

7. How long we keep your information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, accounting or reporting requirements.

As a general guide:

  • enquiries that do not lead to an ongoing relationship will ordinarily be retained for up to 24 months;

  • programme-participant contact and administrative information may be retained for the duration of the programme and afterwards where reasonably necessary to maintain a record of participation or our relationship with you;

  • we do not retain participant exercises, which are kept privately by participants;

  • we do not ordinarily retain participant-session notes;

  • financial and accounting records will generally be retained for six years or for any longer period required by law; and

  • correspondence may be retained for longer where it forms part of an ongoing business relationship or is reasonably required for legal or operational purposes.

We periodically review the information we hold and delete or anonymise information that is no longer required.

8. Security

We take reasonable organisational and technical measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

Personal information is currently accessible only to the founders of What’s Next Initiative where required for their work, subject to access by service providers acting on our behalf.

However, no internet or electronic-storage system can be guaranteed to be completely secure.

9. Your rights

Depending on the circumstances, UK data-protection law gives you rights including the right to:

  • ask for access to the personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete your information in certain circumstances;

  • ask us to restrict our use of your information;

  • object to certain processing based on legitimate interests;

  • receive certain information in a portable format; and

  • withdraw consent at any time where we rely on consent.

10. Children

Our services are intended for adults. We do not knowingly offer our programmes or services to anyone under the age of 18.

Our website uses cookies and similar technologies, including those used by Squarespace to operate the website and provide analytics.

Some cookies are essential for the website to function. Others are used for analytics and are subject to the choices available through our cookie banner.
